Department Overview

The Bietigheim-Bissingen Office is a local office with mainly Engineering professionals working there.

 

Job Purpose: 

Our Office Administrator is responsible for supporting the Site Manager and operating the back office for the entire team in compliance with local laws. This includes supporting Head Office functions of Finance & HR.

 

Key Duties and Responsibilities: 

Administrative & Office Management

  • General office management tasks
  • daily mail administration
  • Logistics coordination (vehicle transport, shipping of parcels);

Finance & Accounting

  • Evaluation and summary of payroll documents, support with center controlling, invoicing and payment processing, travel expense accounting, accounting process optimization
  • support during internal audits (year-end);

HR & Time Management

  • Timesheet management in compliance with German law, booking of project hours for German employees;

Legal, Insurance, and Government Interface

  • Communication with insurances, governmental offices, and financial authorities
  • Customs clearance management for the site

Fleet Management

  • Coordination of company cars: pickup, return, ordering, payments, and service appointments;

Budgeting & Planning

Support of annual and ongoing budget planning for the Bietigheim location.

 

Experience and Qualifications

  • Good administrative knowledge from working in a dynamic multi-lingual environment
  • Strong computer skills literacy in Microsoft programs
  • Must have working level English verbal and written skills.

 

Required Skills and Behaviours

  • Organised, initiative-taking & able to work with high levels of autonomy.
  • PC literate with experience in proprietary BI/ERP systems
  • Excellent knowledge of Excel & PowerPoint
  • Fluency in German and English
  • Work permit for the EU
  • Strong numeracy and analytical skills
  • High attention to detail and accuracy
  • Excellent people skills with the ability to manage complex business relationships.
