Department Overview:
The Asia Pacific & China office is one of 3 global regions for Aston Martin and covers the diverse and geographical territories across the region including India, Greater China, Japan, South Korea, Australia & New Zealand, as well as the south-east Asian markets. The regional office in Singapore re-established in 2025 manages all commercial operations for the company in the region and supports local based offices in the main markets with central functions.
Job Purpose:
As the personal assistant to the President, you will provide an important role to the regional office providing support in managing a busy schedule efficiently, though meeting and appointment scheduling, monitoring correspondence (emails, phone calls, letters), managing meeting minutes, administration and broader office management requirements.

Key Duties and Responsibilities:
You will have a varied group of responsibilities which can be outlined in the following areas:-
Administrative Support:
- This includes tasks like managing schedules, scheduling meetings and appointments, handling correspondence (emails, phone calls, letters), taking meeting minutes, and managing administration processes and systems.
Travel Arrangements:
- Booking flights, accommodation, and transportation for business trips.
Event Planning:
- Organizing and coordinating events, from small meetings to large conferences.
Communication Management:
- Acting as a point of contact, filtering communication, and ensuring timely responses to inquiries.
Research and Reporting:
- Conducting research on various topics, preparing reports and presentations, and compiling information for decision-making.
Office Management:
- Overseeing office supplies, equipment, and facilities, and maintaining a tidy and organized workspace.
Confidentiality:
- Handling sensitive information with discretion and maintaining the privacy of the individual they support.
Financial Management:
- Assisting with bill payments, budgeting, and liaising with accountants or financial advisors.
Project Management:
- Working on specific projects, managing deadlines, and delegating tasks.
Experience and Qualifications
Essential:
- Formal qualifications supporting, strong organizational, communication, and time management skills or wider administration are highly regarded
- Administrative Support: Prior experience in administrative or office support roles is valuable
- Correspondence Handling: Proven ability to manage and respond to various forms of correspondence, including sensitive information.
- Travel planning: Experienced in travel planning and booking in Asia Pacific region
- Scheduling and Calendar Management: Experience in scheduling appointments, meetings, and events
- Event Planning: Some experience with event planning, such as workshops or seminars, can be helpful
- Computer Skills: Proficiency in using common office software like Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Good commercial knowledge and luxury automotive experience, with knowledge of the after sales environment
Preferred:
- Automotive industry understanding
- Multinational corporate experience & understanding
- Educated to Degree level desired but not essential
