Department Overview: 

Delivering a customer focused HR service to all employees, whether in-person, via email or online.

Providing an administration, system and reporting service to the HR Team to enable the delivery of HR activities and initiatives to the business.

Ensuring our HR systems are delivering improved ways of working and efficient processes.

 

Job Purpose: 

To provide a high-quality administrative, system and reporting HR service to the HR Team and AML employees.

 

Key Duties and Responsibilities: 

  • Process all employee lifecycle administration (from hire to retire) within agreed SLA’s
  • Onboarding administration – e.g. support inductions, new starter paperwork, day 1 activities, payslip login, manager notifications
  • Offboarding administration and query management
  • Probation process administration
  • Development process administration
  • Secondment/FTC process administration
  • Respond to employee queries (e.g. HR policy, benefits, expenses) – in person and via email
  • Position management – creation and maintenance of organisation structure within Infor GHR
  • Contractor conversion account management
  • Contractor/Purchased Service record creation/updates
  • Reference Requests (inbound & outbound)
  • Regular reporting
  • Employee correspondence
  • Absence Management administration
  • Concur account creation/updates
  • HR Hub/SharePoint administration/updates
  • Employee Benefits administration – updating online portals (Healthcare/Team Kit/Travel)
  • Special Events Car & Eye care voucher administration
  • Recognition programme administration
  • Invoice processing – updating systems/query management
  • Ongoing file management and updating of team trackers

 

Experience and Qualifications: 

Essential:

  • HR/Administration Background
  • Knowledge of HR Systems and employee lifecycle administration
  • Sound IT literacy in MS Office Tools
  • Able to work effectively in a fast-paced environment
  • Excellent communication & organisation skills
  • Resilient, team player with superb attention to detail
  • Experience with processing Payroll
  • Experience with handling sensitive/confidential information
  • Experience in processing requests from a shared inbox or ticketing system

Preferred:

  • Supporting recruitment, induction and onboarding programmes
  • Supporting offboarding and probation administration
  • Knowledge of ERP systems
  • Supporting HR projects

The ideal candidate for this role should have excellent communication skills, good interpersonal skills, and strong organisational skills which will enable them to manage a wide variety of administrative activities. They will also be able to operate using their own initiative prioritising activities appropriately. They need to be a strong team player and take a methodical approach to their work, be agile and find solutions to deliver.
